This is a key role in the Digital Workplace team, responsible for providing administrative support to the Head of Digital Workplace and team. Responsible for the day-to-day delivery of key service and asset management processes including equipment for new starters, replacement requests and recovery of assets from leavers. This is very much a hub role working with external suppliers, colleagues, procurement and finance teams to make sure the process runs smoothly and resolve any problems.
Key Responsibilities
Receive and fulfil IT equipment service requests.
Create and maintain an accurate register of assets / asset management
Produces routine reports to assist in asset management activities
Manage technology stock levels
Contributes to the creation of end user support and training documentation.
Process purchase orders across a wide number of vendors.
Manage purchase orders and the supplier portal
Document and issue orders to suppliers; chase delivery and receipt.
File supplier correspondence and other relevant documents appropriately.
Work with the central procurement team
Budget and invoice management
Investigate and resolve any payment or other queries, working with the supplier and the Accounts Payable team.
Provide administrative support and diary management required by the Head of Digital Workplace.
Required skills/experience
A strong service-oriented attitude
Strong customer service ethos. Good team worker, flexible, willing to ‘muck in’ and help others.
Accuracy and attention to detail, with a pride in working to the highest possible standards at all times.
Excellent organisational skills
Excellent interpersonal skills & diplomacy. Clear verbal and written communication
Good understanding of Excel.
Competent in other Microsoft Office applications including Outlook and Word.
Desirable skills/experience
Familiarity with an Agile environment
Knowledge of service delivery practices
Advanced knowledge of Microsoft Outlook, Word, Excel and PowerPoint etc
End user training skills
Some experience in a purchasing or financial role and/or in a commercial setting would be an advantage.
